We collect personal information from you as part of providing financial services. You have the right to know how that information is collected, used and protected. Outlook Financial has policies and practices in place to safeguard your information and maintain its accuracy and security.

As a division of Assiniboine Credit Union, Outlook Financial follows privacy standards that meet or exceed industry guidelines, provincial legislation, the federal Personal Information Protection and Electronic Documents Act (PIPEDA), and all other applicable laws.
These standards ensure your personal information is collected, used, and protected appropriately.
The following information outlines in general terms how your personal information is collected and used within the secure Online Banking area of our website, the section that requires your username and password to sign in.
Online Banking includes many transactional features, such as transfers and bill payments. These activities are logged to ensure your accounts are debited or credited appropriately and to provide you with a transaction history. We store and use this information in the same way we would if the transaction occurred through any other service channel.
We may also use transactional information to service your account, for example, to bill you for specific transactions or services.
We use cookies to support your browsing experience.
Most modern browsers allow you to control how cookies are used. If you’re concerned about cookies, we recommend reviewing your browser’s settings or upgrading to the latest version.
We use Google’s reCAPTCHA to help protect our site from automated misuse. reCAPTCHA collects browser and user information — such as cookies, clicks, language settings, and plug‑ins — to determine whether a visitor is a real person. Use of reCAPTCHA is subject to Google’s Privacy Policy and Terms of Service.
General email is not secure and may pass through multiple systems before reaching us. Please avoid sending personal or financial information (such as account numbers) through regular email.
When you email us, we use your email address to respond and may retain your message and our reply for reference.

Protecting the personal information we collect and maintain is as important to us as it is to you. Like any financial institution, we require certain information to provide the products and services you rely on. At the same time, you have the right to know that your privacy is respected and that your information is collected, used, and protected appropriately.
We follow policies and practices to safeguard your information and maintain its accuracy and security. (Throughout this Privacy Agreement, “personal information” refers to information about an identifiable individual.)
Our Privacy Agreement reflects our commitment to treating you fairly, delivering strong member service, and protecting the accuracy and security of your personal information. It is guided by the following 10 principles:
Accountability We are responsible for protecting all personal information under our control. A designated Privacy Officer oversees compliance with this Privacy Agreement and all applicable laws.
Identifying purposes When we request personal information, we explain why we need it and how it will be used.
Consent We require your knowledge and consent for the collection, use, or disclosure of your personal information, unless required or permitted by law. Consent may be express (such as signing a form or clicking a box), implied (based on actions you take), or deemed (when you voluntarily provide information for an obvious purpose).
Limiting collection We collect only the information necessary for identified purposes, using fair and lawful means.
Limiting use, disclosure, and retention We use or disclose your information only for the purposes for which it was collected, unless you consent otherwise or the law requires or permits it. We retain personal information only as long as needed to fulfill those purposes.
Accuracy We keep your personal information as accurate and complete as necessary for its intended use.
Safeguarding member information We protect your information with security measures appropriate to its sensitivity.
Openness We make information available to you about our privacy policies and practices.
Member access Upon request, and subject to applicable law, you may access your personal information, learn how it has been used or disclosed, verify its accuracy, and request corrections.
Handling concerns and questions Our Privacy Officer is available to answer questions or address concerns about this Privacy Agreement or our privacy practices.

You rely on us to provide responsible, reliable financial services and meaningful advice. To do that, we need current and accurate personal information. This helps us understand your needs, offer the right products and services, and support you with personalized financial guidance.

The information we request depends on the product or service you want. Much of the personal information we ask for is either mandatory by law or vital for us to be able to do business with you. Here are a few examples where you must provide us with specific information in order to obtain the product or service you want.
Social Insurance Number (SIN)
In order to comply with the Canada Revenue Agency’s income reporting requirements, we must collect your SIN when you open a savings account or apply for an RRSP, RRIF or TFSA or other product that earns investment income.
Financial information
Your financial information is also necessary to assess your eligibility for credit products you request, such as a line of credit, loan or mortgage. At the same time, it helps us give you the most appropriate financial planning advice about investments and other products and services.
Product-specific information
Some products and services require you to provide a specific type of information. For example, information about your health may be required to determine your eligibility for insurance products.
Identification information
Knowing your birth date and other identification information, such as your name, address and occupation, helps identify you and reduces the risk that someone will impersonate you. We are required by anti-money laundering laws to cite and record details of certain documents, such as photographic ID and other personal documents. With your consent, we use biometric data to verify your identity when required for transactions. If you have enrolled in our facial recognition initiative, your facial image will be converted to a series of numbers which is encrypted and checked against a facial image is taken each time your identity is verified.
Intended uses of our products and services
Collecting information about how you intend to use, and use, our products and services allows us to better tailor those products and services to your needs.
Your feedback and opinions
As part of our commitment to continuous improvement, we sometimes employ the services of professional research companies to conduct independent member satisfaction surveys. These surveys will be conducted during your relationship with us or within a reasonable period of time thereafter. If you do not want to participate in these surveys, please contact our Privacy Officer. We also receive feedback from you, when you interact with us in person, on the phone or by email.
Transfer of personal information to service providers outside Canada
We may engage service providers to assist us in fulfilling the purposes that are set out in this agreement, and, in some instances, these service providers may be located outside Canada. We only select service providers that protect personal information in a manner that is comparable to the protection we provide under our own privacy policies. Please be advised that personal information may be subject to, and accessed under, the laws of the countries in which our service providers operate. If you have any questions about our transfer of personal information to our service providers outside Canada, or if you would like to learn more about our privacy policies in that regard, please contact our Privacy Officer.
We obtain most personal information directly from you. However, with your consent, we may occasionally request information from trusted third parties to help us verify details you’ve provided or to support the products and services you use with Outlook Financial.
For example, we may contact employers or other reference sources to confirm information you’ve shared with us, or we may work with partners within the Canadian credit union system to validate details required to deliver certain services.
We are not in the business of selling member lists or personal information about you to others but, under certain circumstances, we may release your personal information to outside parties, including:
We give the minimum amount of personal information necessary for our suppliers and agents to produce goods and services provided to you through us. For example, we must provide a cheque production company with the personal information you want printed on your Outlook Financial cheques.

With your consent we may disclose your Outlook Financial deposit history to other lenders or credit bureaus if you apply for credit at another financial institution. In these cases, we release only the information required to identify you and records about your deposit history.
We may disclose your personal information in order to complete a business transaction, such as a merger with another credit union or the sale to, or purchase of, another credit union. In such circumstances, we will only disclose your personal information to the other party to the transaction if the disclosure is necessary to complete the transaction and there is a written agreement that restricts the collection, use and disclosure of such personal information to purposes that relate to the business transaction.
If the business transaction is not completed, all personal information disclosed and collected by us will be destroyed or returned.
We are obligated to provide personal information in response to a valid demand, search warrant or other legal enquiry or order. We may also disclose personal information to help us collect a debt owed to us and in the case of a breach of agreement or contravention of law.
We take pride in the policies and practices we use to protect your personal information. You also have the right to understand how your information is collected, used, and shared. That’s why we’ve established clear procedures to restore the integrity of your personal information if the safeguards we rely on are breached.
Our procedures to respond to security breaches include breach notification. We will notify you, as soon as reasonably practicable in the circumstances, of any security breaches of your personal information, and what it might mean to you.
We will consider the sensitivity of the personal information that is involved and the probability that the personal information has been, is being or will be misused. If the breach creates a real risk of significant harm to you, such as the potential for financial loss, identity theft or negative effects on your credit, we will notify you of the breach as soon as we can. We will ensure that you have enough information to take whatever steps are possible to reduce the risk of the harm that could result from the breach.
Second, if there has been a material breach of the security of your personal information (determined by a number of factors, including the sensitivity of the personal information and the number of individuals whose personal information was involved), we will also notify the Office of the Privacy Commissioner of Canada and the applicable provincial information and privacy commissioner and/or ombudsman as appropriate.
Third, we will investigate whether any other government institutions may be able to help us reduce the risk of harm from the breach. If so, we may notify those institutions, so that they can help us respond to the breach.
In all cases, we will strive to make our notifications as soon as we confirm the breach has occurred, and that notification is required, in a manner which is consistent with applicable laws.
As an Outlook Financial member, some personal information is required to provide the products and services you request. However, you have control over how we use your information for optional purposes, including promotional communications from Outlook Financial and our credit union system affiliates. (Statement inserts are excluded.)
You may withdraw or change your consent at any time, subject to applicable law. Please note that withdrawing consent may affect our ability to offer certain products or services, and reasonable time may be needed to process your request.
